Should You Outsource Steel Detailing? Costs, Risks and How to Decide

When does outsourcing steel detailing make sense?
Outsourcing makes sense when detailing demand swings faster than you can hire: a bid season that stacks several awarded jobs at once, a backlog of miscellaneous steel your detailers keep pushing back, or a package type your in-house team does not run. It pays best when the work can be defined in writing, from contract drawings and shop standards.

Most fabricators who outsource do it for overflow rather than for everything. That is the use case the steel fabricators page is written around.
When is outsourcing the wrong choice?
Outsourcing is the wrong choice when the work cannot be described in writing, changes by the hour, or needs someone physically present. It is also wrong when your in-house team already has idle time, or when your shop needs native model files from a platform your detailing partner does not run. Be honest about these before sending drawings.
- Daily in-person coordination. If the erector, Engineer of Record and fabricator are resolving conditions in a site trailer every day, a remote detailer will always be a step behind.
- Design that is still moving. Detailing a design that changes hourly produces revisions, not drawings. Wait for the design to settle, or keep the work close.
- Idle in-house capacity. Paying an outside detailer while your own detailers wait for work adds cost without adding output.

- Fixes needed within the hour. A same-afternoon field fix during the US workday is better handled by someone in your time zone.
What does outsourced detailing cost compared with in-house?
An in-house US detailer is estimated to cost about $45–$90 per productive hour before software, against $15–20 per hour outsourced to Vertex. The larger difference is idle time: in-house cost continues between bids, while outsourced hours are billed only when there is work. Outsourcing also adds costs of its own, and a fair comparison counts them.
The in-house figure comes from an illustrative estimate, not a quote or a claim about any company: a base salary of $60,000–$90,000; payroll taxes, health insurance and retirement assumed at 25–35% of salary ($15,000–$31,500); $2,000–$5,000 for a workstation, IT and training; and 1,400–1,700 productive detailing hours a year. What are the real risks of outsourcing steel detailing?
The real risks are slow answers on urgent questions, drawings that ignore your shop standards, loose handling of project documents, rework from unchecked drawings, and a partner without capacity for your schedule. None is unique to offshore detailing, but a time-zone offset makes the first one sharper. Each can be managed if it is planned for before the first package.

How are urgent RFIs handled across time zones?
India Standard Time is 9 hours 30 minutes ahead of US Eastern Daylight Time, so the team's working day in India falls during the US night. Questions and markups sent by the end of the US workday are waiting when that day begins, and work sized to a working day comes back for the next US morning's review.

India does not observe daylight saving time, so the offset shifts by an hour when US clocks change. A markup sent at 5:00 p.m. Eastern Daylight Time arrives at 2:30 a.m. the next day in India.
The practical habits that make this work: batch questions at the end of your day instead of sending them one at a time, mark genuinely urgent items as urgent, and include sheet and grid references so a question can be answered without a call. How does an outsourced detailer learn your shop standards?
An outsourced detailer learns your shop standards from documents you send before modeling starts: your standards document if you have one, a set of previously approved shop and erection drawings, piece-mark conventions, sheet templates, connection preferences and the NC file format your machines use. Those are set up in SDS/2 once and reused on later packages.
Send these with the first package:
- Piece-mark and ship-mark conventions, including prefixes and numbering
- Sheet templates, sheet sizes and title block requirements
- Preferred connection types, bolt gauges and weld practices, within the Engineer of Record's design
- Bill of material format and the columns your shop uses
- NC file format and any machine-specific requirements
- Two or three approved drawing sets that show how your shop likes things drawn
Where no written standards exist, approved drawings from past jobs do most of the work. The first submittal is where differences show up; reviewing it closely pays back on every package after it.
How should project documents be handled?
Contract drawings, specifications and shop drawings are commercial documents, and shop drawings are the fabricator's work product. Before sending them to any outside detailer, agree who can access the files, where they are stored, how they are transferred, how long they are kept, whether they are deleted at closeout, and whether a nondisclosure agreement applies.
Put your requirements in writing at intake and confirm the partner's terms before documents change hands. The same applies to publishing: a detailer should not show your drawings, name your company or name your project without written permission. Is offshore detailing in India a good fit for US projects?
Offshore detailing in India fits US projects well when the package is defined, communication happens in writing, and the partner works to US standards: AISC 303 and AISC 360, imperial units, US sheet sizes and US drawing conventions. It fits poorly when the project needs daily live coordination.

How should you start with a new detailing partner?
Start with a first package that is small enough to review closely and representative enough to show how the partner works: one building area, a misc steel scope, or a package with a clear set of shop standards. Judge the checked drawings, the quality of the questions, and how revisions are handled, before committing a large job.

It depends on the partner's checking process, knowledge of US standards and communication, not on the country. Ask for sample drawings, check that they follow AISC 303, AISC 360 and US conventions, and start with a small package.
